Position Summary



The University of Southern Indiana is accepting applications for Associate Director of Business Operations and Information Technology.



Under the direction of the Director of Housing and Residence Life, the Associate Director of Business Operations and Information Technology is responsible for the planning, organization, coordination, and supervision of all aspects of Housing and Residence Life assignments, facilities management, StarRez and all other technological components of the department. Working in a team approach, this position works closely with the Director in performing various responsibilities that directly impact the Housing and Residence Life staff and experience of students living in on-campus housing. As a highly visible member of the university community, they interact across divisional lines and work collaboratively with many segments of the university through education, consolation, advisement, and referral.







Duties/Responsibilities 

  • Serve as liaison with the Business Office, Admissions, Facility Operations and Planning, and other University offices as they relate to housing assignments and information technology.

  • Serve as the primary administrator for housing and residence life (HRL) data management software, StarRez. Provide functional and technical leadership and expertise including in-depth knowledge of system setup, vendor management, data security, and management of the Portal platform. Serve as liaison with Information Technology and StarRez. Direct all aspects of the StarRez Resident Management System (RMS). This includes coding of housing applications, assignments, as well as creation of charge schedules for fall, spring and summer semesters and the enrollment verification annually. Determines the needs and provides support for StarRez and other technology within the department, collaborate with other offices/departments involved. Coordinate the department's effort to revise all housing applications annually (Freshman, Returning Students, Exchange Students, Summer, and Spring).

  • Develop and edit the content of the StarRez housing portal, all modules providing annual revisions and enhancements, and the content and edits to the department website.

  • Research system enhancements according to best practices and protocols; evaluate impact on existing policies and procedures; propose and develop recommendations.

  • Create and revise data management documentation.

  • If applicable, supervises staff that assist with the execution of housing assignments/business operations/marketing, this includes but is not limited to Administrative Assistants and the department's student workers. Provide direction and oversight of the daily functions of the position.

  • Responsible for all aspects of the housing application, contract, and assignment processes.

  • Manage housing revenue and expenditures, verification and documentation of financial transactions, and under the supervision of the Director, prepare, manage and execute the department budgets (including reports, purchase orders, requisitions, direct payments, etc.). In conjunction with the Procurement department, initiate solicitations as needed.

  • Work closely with the Manager of Housing and Residence Life Facility Operations for daily operations of housing facilities. Work with contractors as necessary to maintain housing facilities and address issues that arise.

  • Responsible for verifying and documenting all billing processes for housing charges. Responsible for all imports, exports, and data exchanges between RMS and Banner. Complete a formal review of housing rates entered into RMS each year. Serve as the administrator for RMS and work closely with Information Technology on software management and needs.

  • Review and approve daily billing reports.

  • Ensure compliance with all University policies and laws as it pertains to housing data systems.

  • Assist the Director with facility budget management and development, strategic planning, and vendor contracts. Monitor and track facilities expenses within the department budget.

  • Work closely with Director and other Residence Life staff in planning staff training.

  • Assist with New Student and Transfer Student Orientation days.

  • Maintain visibility in housing areas to proactively serve the community living in on-campus housing.

  • Serve in the Leadership Team on Call (LTOC) rotation with the Director, Associate Director(s) and Assistant Director(s) during the year.

  • Serve on Housing and Residence Life committees and/or university committees as assigned by the Director.

  • Stay current with national trends in housing and residence life.

  • Assist with coordination of Housing and Residence Life events such as check-in, checkout, and move-in.

  • Other duties as assigned by the Director and/or the Vice President for Student Affairs (VPSA).






Required Knowledge and Skills

  • Master’s degree; Accounting, Business, or related field preferred.

  • Three years of experience in the field of business administration or residence life operations.

  • Previously demonstrated leadership skills in the areas of office administration, or related field with significant administrative experience.

  • Proficiency from experience or coursework in at least one of the following: JavaScript Object Notation (JSON), Extensible Markup Language (XML), JavaScript, C#, CSS, Java, Python, or Structured Query Language (SQL).

  • Understanding of databases and analytic technologies.

  • Interface with other technology teams to extract, transform, and load data from a wide variety of data sources using SQL (Redshift, Oracle) and ability to use a major programming languages.

  • Self-starter with ability to work independently as well as be an effective team member.

  • Detail-oriented with strong organizational and administrative skills.

    Strong interpersonal, communication, written and oral presentation skills.

    Ability to work professionally and effectively with students, parents/guardians, faculty, staff, and visitors.






Preferred Knowledge and Skills

  • Demonstrated familiarity with housing, residence life, or apartment management field strongly.






Regular Work Hours/Travel Requirements


  • Standard work hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
  • Extended and weekend hours required during the beginning and ending of each semester, and other times as deemed necessary by the Director or Vice President for Student Affairs.
  • Occasional local or regional travel may be required to attend meetings, trainings and events.
