Position Information
Hiring Department: Vice Presidency for Business Affairs
Posting End Date: Open until filled.
Hours: up to 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends
FLSA status: Exempt
Earliest Start Date: As soon as possible.
Salary: $45,000 annually.

Purpose of Position
Essential Functions
Summary:Under limited supervision and with moderate latitude for the use of initiative and independent judgment, coordinates and directly supports the business process functions of the department.

Statement of Duties and Responsibilities:
Maintains responsibility for general secretarial support functions to the department to ensure efficient utilization of time.
Execute tasks with a strong emphasis on accuracy and thoroughness.
May coordinate and implement methods and procedures for monitoring work activities, and recommends measures to improve methods, performance, and quality of product or service.
Coordinates various office management functions, including scheduling and preparing staff departmental meetings, ordering and monitoring inventory and office supplies, and coordinating facilities and mail service activities.
Prepares and reviews statements and reports with management personnel; may participate in cost analyses and rate studies.
Coordinates preparation of external audit materials and external financial reporting; assigns duties and examines work for exactness, neatness, and conformance to policies and procedures.
Identifies and resolves problems and inconsistencies, determining appropriate corrective procedures.
Maintains filing for the department including correspondence, reports and legal documentation.
Maintains a high degree of confidentiality on all sensitive information this position is privy to.
Acts as liaison between departments and internal or external customers.
Participates in various committees, professional trainings, industry conferences, and conventions.
Maintains an environment that promotes efficiency within the department.
Maintains records and organizes filing and archive systems to facilitate the expeditious retrieval of information.
Answers and refers telephone calls or other inquires to ensure accurate and timely communications are facilitated.
Travel may be required
Knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
Other duties may be assigned.
Supervisory Responsibilities: No supervisory responsibilities.
Qualifications

Required Qualifications:
Excellent interpersonal communication and writing skills.
High level of proficiency in spreadsheet and word processing applications (MS Office Suite) with advanced skills with Microsoft Excel.
Demonstrated ability to interact tactfully and professionally with all groups of people under stressful and time-sensitive conditions; be supervised; and work independently, and as a team member.
Demonstrated ability for accuracy, attention to detail, and ability to follow established guidelines and office protocol are critical.
Education: Bachelor's degree from four year college or university within area of assigned responsibility

Experience: Two years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience
