Job Description:

The Administrative Specialist 1 for Clinical Timekeeping provides centralized timekeeping support for multiple clinical departments, including Psychiatry, Medicine, and various therapy services at the Oregon State Hospital. This position plays a critical role in ensuring accurate timekeeping, supporting payroll processes, and maintaining essential records for the clinical team

Key Responsibilities:

  • Coordinate timekeeping changes with the Central Time Keeping Office, creating and maintaining labor distributions, home schedules, and processing separations.
  • Validate and enter timesheets for Psychiatry and Medicine staff into Workday, ensuring proper leave and coding based on union contracts.
  • Collaborate with Payroll and clinical staff to ensure accurate reporting and resolution of payroll-related issues.
  • Provide technical support for API and Workday systems, guiding clinical staff through common issues or escalating as necessary.
  • Maintain timekeeping records, conduct audits, and prepare reports for leadership review.
  • Develop procedures and job aids to improve the efficiency of timekeeping activities.
  • Perform other duties as assigned, including promoting a culturally competent and diverse workforce.

MINIMUM QUALIFICATIONS

Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR

An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR

An equivalent combination of education and experience.
