The hiring range for this role is:  

$78,638.00 - $110,285.00

This is the lowest to highest salary we, in good faith, believe we would pay for this role at the time of this posting.  We may ultimately pay more or less than the hiring range andthis hiringrange may also be modified in the future. A candidate’s position within the hiring range may be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, relevant experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs. This job is also eligible for annual bonusincentivepay.

Job Description Summary

The Consultant, Events is responsible for extensive event programming in Cvent, management of various event requests, reporting and reconciling of data, and maintaining various customer support inboxes. The role will collaborate closely with all members of the events team to successfully support events others are managing as well. The role will also work with stakeholders across the company to support their event registration requests. This position is critical to the overall success of the events team.

Responsibilities include but are not limited to:

Event Technology. Adapt current event technology (Cvent) and evaluate future needs for BCBSA events use case as relevant. Act as internal Cvent coordinator, attending monthly Cvent update meetings, implementing changes, training the events team on enhancements, and regularly sharing highlights with team. Maintain Cvent reference documentation for ease of use across the team/company. Program, proof, and work with internal stakeholders to finalize Cvent attendee and sponsor registration paths for events across BCBSA. Program, proof and finalize Cvent event websites, attendee hub sites, and mobile apps for various events throughout the year. Program, proof, finalize, and track emails sent via Cvent. Upload and sort appropriate distribution lists for emails. Develop, deploy and report results of surveys via Cvent. Develop, deploy and maintain event mobile apps and virtual attendee hub

Conference and Event Management. Manage sourcing and logistics for smaller events, dinners and activities. Manage RFP process, select venue and negotiate a contract with optimal cost savings and minimal risk. Manage AV, F&B, hotel room block and all logistical components of the program. Travel to programs when necessary and provide onsite management. Close-out program, including survey reports, executive summary, final invoicing, and financial review. Manage restaurant contracts and payments for large group dinners

Administrative and Financial. Manage procurement process for events team including submitting purchase requisitions, requesting purchase orders, setting up vendors and monitoring the process for all event needs. Monitor corporate travel management and conferences customer support inboxes and respond to inquiries in a timely manner. Track and report events-related items and processes. Manage meetings credit card account for the team, tracking expenses and submitting monthly statements and backup documentation for payment. Run and submit monthly financial report. Reconcile and track Cvent contract invoices

Required Education, Certifications and Experience

  • Bachelors Degree
  • Experience in meeting planning and event management
  • Experience working with event technology software
  • Project management experience
  • Experience using Cvent for meeting planning
  • Microsoft Office proficiency to include Word, PowerPoint, Excel and Outlook
  • Understanding of databases; technologically savvy
  • Comfortable with new software applications, ability to learn new products quickly
  • Excellent verbal and written communication skills
  • Strong organizational skills with ability to prioritize and multitask
  • Strong judgment and independent problem-solving and decision-making skills
  • Strong time management capabilities
  • Ability to work both independently and as part of a team
