Overview

The Contract Billing Manager will manage a team who support the billings around a Contract Sale at Singer Equipment. This position will be responsible for the successful processing of an order from new account set up through final invoicing.  

Responsibilities

  • Be the direct report for the Contract Billing Administrators. This includes: 
  • Approving Timecards, PTO, and Overtime. 
  • Annual employee reviews. 
  • Employee workload. 
  • Set up new jobs in our system with accurate billing and payment term information. Ensure sales team provides all pertinent paperwork for job set up including but not limited to tax exempt forms, signed quotes, and customer PO’s. 
  • Ensure all tax was accurately presented to the customer (if applicable). Work with sales team to reconcile when there is a tax discrepancy.  
  • Manage deposit invoice collection and be the liaison between Sales Teams and the Purchasing department for sending orders to vendors.  
  • Monitor all transactions for Contract jobs. This includes original orders and any added Change Orders and Expenses. 
  • Oversee reporting on any orders where our costs exceed our billings and communicate with the Sales Teams and Customers to collect money.  
  • Partner with the Sales Team members for accurate billing schedule to ensure items shipped to customers are being invoiced in a timely manner with bi-monthly meetings.  
  • Partner with Sales Teams , the warehouse, and Cost Accounting for proper job close out from a costing and inventory standpoint.  
  • Partner with the AIA department for timely and accurate invoicing. 
  • Partner with Senior Contract Collections Manager for any outstanding AR. 
  • Work effectively and professionally with the entire Singer team. 


Ideal Candidate Will Possess the Following Skills and Abilities

  • Experience in a professional finance related role.
  • Ability to multi-task and work in a fast-paced environment.
  • Proficient in Microsoft programs.
  • Ability to work independently with minimal supervision and as part of a team.
  • Strong communication skills, both oral and written.
  • Strong relationship building skills with customers, and co-workers.
  • Exceptional organizational skills and strong attention to detail
  • Excellent customer service attitude.
  • Critical thinking and problem solving.
  • 1-2 years of experience with a distribution company operating system a plus.
