The Department Assistant position provides administrative support to the Director of Planning, Curriculum and Assessment (PCA), Associate Director of Assessment, and the Instructional Design and Technology team; supports and collaborates with those involved with strategic planning; accreditation; academic and co-curricular program review and annual report processes; the General Education Assessment Committee; the Institutional Assessment Committee; and learning institutes and academies. 

  • Serves as the welcoming initial point of contact for communications relative to the support of planning, assessment, curriculum, accreditation, and instructional design.
  • Maintains collaborative, professional relationships as a college liaison to various external agencies in order to support effective programming related to planning, assessment, curriculum, accreditation, and instructional design.
  • Facilitates budgetary transactions, produces contracts, reviews and analyzes financial data in accordance with college and contractual obligations. Process purchase orders and invoices, and contracts and tracking expenses and running reports. Utilization of Business Office platforms (Questica, etc.) is required.
  • Working with the Business Office, assist in the development of the PCA yearly budget; participate in meetings to review budget requests, and mid-year budget analysis; enter budget information into Questica.
  • Formats and distributes reports, surveys and forms including, but not limited to those related to strategic planning, NECHE, external accreditations, program review, curricular activities, CFE trainings, Perkins activities and personnel paperwork.
  • Coordinates personnel, services, and facilities for the support of strategic planning events; assessment; meetings and visits related to accreditations and program reviews; and learning institutes and academies.
  • Schedules and composes minutes of meetings and proofreads letters, memos, etc. for accuracy and completeness. 
  • Monitors assigned unit activities to ensure effective and secure daily operations and schedules in accordance with the academic and College meeting calendars; including but not limited to those of the Director and Associate Director of PCA and instructional design staff.
  • Orients new and contract employees to general division, College, and contractual protocols; coordinates office assignments and technology needs.
  • Works collaboratively with the Staff Associate of Academic and Student Affairs and the academic division administrative assistants in support of faculty and of the contract implementation calendar, including the administration of student evaluations.
  • Maintain a file system and prepare emails, letters, memos, files electronic records for PCA business and maintains PCA calendars, documents, and forms. 
  • Maintains adequate office supplies.
  • Supervises work-study students.
  • Performs other appropriate duties as assigned.

REQUIRED:  

  • Minimum of three years full-time related experience, or equivalent part-time experience in office work;
  • Ability to communicate well, both orally and in written format;
  • Ability to follow written and oral instructions;
  • Proficiency with Microsoft Office, the Google Suite, and Zoom; 
  • Exemplary interpersonal skills and ability to interact with faculty, staff, students and external agencies;
  • Ability to work in a fast paced office and a proven record of working cooperatively and flexibly as part of a team;
  • Ability to multitask, set priorities and maintain positive attitudes at times of increased workload;
  • Good organizational skills with strict attention to detail and accuracy.

PREFERRED:  
  • Associates degree in an administrative field or related area;
  • Basic bookkeeping knowledge;
  • Experience working in higher education environment or with faculty in an educational setting.

Part-time, non-benefited position

Hourly Rate: $20/hour

Hours: 18.5 hours/week 

- All candidates must have legal authorization to work in the United States. HCC is not sponsoring H1B Visa.
