This position establishes and maintains records and policies for Whataburger. Maintains accounting and financial records and reports. Audits and validates expense reports to ensure compliance with policies and procedures. Maintains security setup within the Badge System. Partners with IT for review and implementation of accounting systems. Develops, maintains, and implements systems documentation and procedures/instructions.

Responsibilities:

  • Develops, implements, and maintains records retention policies in compliance with legal and regulatory requirements.
  • Prepares reports and obtains financial data from files or databases.
  • Stays updated on relevant laws and regulations to ensure the company remains compliant.
  • Conducts audits of employee expense reports to ensure compliance with company policies.
  • Analyzes and resolves discrepancies in expense submissions, providing feedback and training.
  • Generates reports on expense trends and compliance metrics for management review. Makes recommendations on how the company can attain improved compliance.
  • Collaborates in the development and implementation of governance frameworks related to expense reporting and records management.
  • Ensures system auditing protocols are operating effectively.
  • Manages corporate credit card program and ensures compliance.
  • Maintains the company’s badge security system, including managing user access and security setup.
  • Collaborates with IT and security teams to implement upgrades and enhancements to the badge security system.
  • Provides training to employees regarding expense report submissions and security badge procedures.
  • Assumes additional responsibilities as assigned.

Education:

  • High school diploma/GED equivalent or equivalent work experience
  • 5+ years’ experience necessary
  • Bachelor’s degree preferred

Experience:

  • Experience in handling multiple administrative task
  • Establish and maintain an effective working relationship with management, vendors, and co-workers, and foster a team environment
