Position Summary
The University of Southern Indiana is accepting applications for Senior Accounting Assistant.
Responsible for daily accounting functions for Foundation Accounting which are critical processes for the accuracy of financial reporting. Process data input for the USI Foundation, prepare daily deposits, prepare and distribute accounts payable disbursements, and ensure record retention requirements are met. Analyze general ledger transactions to ensure accurate and timely reporting of Foundation transactions in Banner and prepare monthly account reconciliations. Provide assistance to the Manager of Foundation Accounting, Foundation Accountant, and Associate VP of Finance and Administration/Foundation Fiscal Officer in daily accounting functions.
Duties/Responsibilities
- Ensure the completeness of the Foundation Accounting daily deposit process, which includes processing of daily mail, determining which USI Foundation funds donor contributions are to be posted to, preparing the daily deposit, and verifying daily deposit prior to submission to bank.
- Verify daily revenue deposits prior to submission to bank.
- Provide guidance and assistance to financial managers/staff on accounts payable processes to ensure timely and efficient processing of accounts payable transactions.
- Assemble, organize, and enter accounts payable check requests into the Banner Finance system.
- Monitor weekly routing for approval of accounts payable check requests in process for timely check processing.
- Maintain accounts payable and financial document permanent files.
- Coordinate distribution of accounts payable checks with particular attention given to mailing instructions or restrictions.
- Process and verify daily credit card transactions utilizing the USI Foundation’s online transaction processing system.
- Maintain recurring ACH/credit card donation spreadsheet and utilize for recurring transactions.
- Assemble and verify accuracy of processed USI Foundation receipts.
- Verify eligible matching gifts with system information and complete company forms for submission. Monitor matching gifts in process and manage updates of matching gift files.
- Review and analyze revenue and expense transactions in Banner monthly to ensure accuracy of records and financial reporting.
- Ensure critical month-end tasks are completed prior to closing the financial period.
- Prepare quarterly analytical reviews of revenues and expenses.
- Prepare monthly reconciliations for various USI Foundation funds.
- Develop and maintain spreadsheets for USI Foundation general ledger information, monthly University support, gifts of securities, and USI Foundation transfers.
- Develop and maintain spreadsheets required for the annual external audit, internal audits and year-end processes.
- Manage and prepare items for document retention, including but not limited to accounts payable and pledge documentation.
- Prepare monthly University Support Report detailing support provided to the University.
- Assist with preparation of detailed monthly investment portfolio reconciliations involving numerous investment transactions.
- Review Banner documents monthly to ensure required supporting documentation is included.
- Maintain USI Foundation fund create files including required documentation.
- Respond to departmental inquiries related to the Foundation Accounting department.
- Assist the Foundation Accountant in accounting for USI Foundation special events.
- Provide backup support for other Finance and Administration staff during peak work times or absences.
- Serve as backup for various accounting duties in the Foundation Accounting department.
- Other duties as assigned.
Required Knowledge and Skills
- Associate’s degree in accounting or related field.
- Minimum of three years business office or accounting experience or a combination of education and experience.
- Demonstrated proficiency with micro-computers including spreadsheet, word processing, internet, and electronic mail systems.
- Attention to detail including strong editorial and strong problem solving skills.
- Ability to type with a high degree of accuracy.
- Ability to maintain confidentiality of sensitive materials and information.
- Demonstrated strong oral and written communication skills to deal with the public and handle transactions in a customer-orientated manner.
- Excellent organization skills in addition to the ability to coordinate multiple tasks, determine priorities, set deadlines, and complete projects.
- Ability to work with a diverse group of internal and external individuals.
- Strong interpersonal and collaborative skills.
Preferred Knowledge and Skills
- Bachelor’s degree in accounting or business strongly preferred.
- Previous experience with computer based accounting systems.
Regular Work Hours/Travel Requirements
- Standard hours are Monday through Friday, 8:00 a.m. to 4:30 p.m.
- Occasional irregular hours during month-end close and year-end close out may be required.
- Occasional travel within the area may be required
